Privacy Policy for Online Meetings of
Alco-food-machines GmbH & Co. KG via “Microsoft Teams”
1. Purpose of the processing
We use the “Microsoft Teams” tool to conduct telephone conferences, online meetings, video conferences and/or webinars (hereinafter referred to as: “Online Meetings”). “Microsoft Teams” is a service of Microsoft Corporation.

Note: If you access the “Microsoft Teams” website, the provider of “Microsoft Teams” is responsible for data processing. However, a visit to the website is only required for the use of “Microsoft Teams” in order to download the software for the use of “Microsoft Teams”.
If you do not want or cannot use the “Microsoft Teams” app, you can also use “Microsoft Teams” via your browser. The service is then also provided via the website of “Microsoft Teams”.
3. What data is processed?
When using "Microsoft Teams", various types of data are processed. The scope of the data also depends on what information you provide before or when participating in an “Online Meeting”.
The following personal data is the subject of data processing:
Information about the user: e.g. display name, possibly e-mail address, profile picture (optional), preferred language
Meeting metadata: e.g. date, time, meeting ID, phone numbers, location Text, audio and video data: You may have the opportunity to use the chat function in an “Online Meeting”. In this respect, the text entries you have made will be processed in order to display them in the “Online Meeting”. In order to enable the display of video and the playback of audio, the data from the microphone of your terminal device and from a possible video camera of the terminal device are processed accordingly during the duration of the meeting. You can switch off the camera or mute the microphone at any time via the “Microsoft Teams” applications.
4. Scope of processing
We use “Microsoft Teams” to conduct “Online Meetings”. If we want to record “Online Meetings”, we will inform you transparently in advance and – if necessary – ask for your consent.
The chat content is logged when using Microsoft Teams. We store the chat content for a period of up to three months. If it is necessary for the purposes of logging the results of an Online Meeting, we will log the chat content. However, this will usually not be the case.
Automated decision-making within the meaning of Art. 22 GDPR is not used.
5. Legal basis of data processing
Insofar as personal data of employees of the responsible body is processed, § 26 BDSG (Federal Data Protection Act) is the legal basis for such data processing.
If, in connection with the use of “Microsoft Teams”, personal data is not required for the establishment, implementation or termination of the employment relationship, but nevertheless an elementary component of the use of “Microsoft Teams”, Art. 6 Para. 1 lit. f) GDPR is the legal basis for such data processing. In these cases, we are interested in the effective implementation of “Online Meetings”.
Furthermore, the legal basis for data processing in the execution of “Online Meetings” is Art. 6 Para. 1 lit. b) GDPR, insofar as the meetings are carried out within the framework of contractual relationships.
If there is no contractual relationship, the legal basis is Art. 6 Para. 1 lit. f) GDPR. Here, too, we are interested in the effective implementation of “Online Meetings”.
6. Recipients / Transfer of data
Personal data that is processed in connection with participation in “Online Meetings” is generally not passed on to third parties, unless such data is intended to be passed on. Please note that the content from “Online Meetings” as well as personal meetings is often for customers, interested parties or third parties and is therefore intended for disclosure.
Other recipients: The provider of “Microsoft Teams” necessarily receives knowledge of the above-mentioned data, insofar as this is provided for within the framework of our order processing contract or EU standard contractual clauses with “Microsoft Teams”.
7. Data processing outside the European Union
In principle, data processing outside the European Union (EU) does not take place, as we have limited our storage location to data centers in the European Union. However, we cannot rule out the possibility that data is routed through Internet servers located outside the EU. This may be the case in particular if participants in an “Online Meeting” are located in a third country.
However, the data is encrypted during transmission online and thus secured against unauthorized access by third parties.
8. Data Protection Officer
We are not legally obliged to appoint a data protection officer.

9. Your rights as a data subject
You have the right to information about the personal data concerning you. You can contact us for information at any time.
In the case of a request for information that is not made in writing, we ask for your understanding that we may require proof from you that proves that you are the person you claim to be.
Furthermore, you have a right to the rectification or deletion of your personal data or to the restriction of the processing of your personal data, insofar as you are legally entitled to do so.
Finally, you have a right to object to the processing of your personal data in accordance with statutory regulations.
A right to data portability also exists within the framework of data protection regulations.
10. Deletion of data
We generally delete personal data if there is no need for any further storage of it. A requirement may exist in particular if the data is still needed to fulfill contractual services, and to verify, grant or defend warranty claims. In the case of statutory retention obligations, deletion is only considered after expiry of the respective retention period.
11. Right to lodge a complaint with a supervisory authority
You have the right to lodge a complaint about the processing of personal data by us to a supervisory authority for data protection.
12. Modification of this Privacy Policy
We may revise this data protection information in the event of changes to data processing or other occasions that make this necessary. The currently valid version can always be found on this website.
